Contracts Administrator

Reporting To:

Contracts Supervisor

Hours of Work:

Full-time, Monday to Friday

8:30am – 5:00pm

37.5 hours per week (additional weekday or weekend hours may be required).


Job Purpose

You will be responsible for ensuring all business demand requirements have been captured from Sales / New Business Opportunities, Consignment Stock and general stock replenishment, monitoring 1,500 different product SKUs. Ownership of the Customer Consignment Process, liaising with the customers to ensure usage reports are sent every month, resolving any discrepancies, stock reservations and ensuring stock rotations are carried out adopting a FIFO policy. This role will work across Procurement, Sales and Operations. Local and international business travel may be required to customer sites. Ultimately, you should have a flexible working attitude and able to work under tight deadlines.

Key Responsibilities

  • Understanding contractual demands and analysing ad-hoc vs consignment parts
  • Proactively creating customer reports based on parts usage and new demands
  • Working with the Purchasing team to maintain safety stock levels
  • Being the focal point for contractual customers while ensuring high-level customer service
  • Developing consignment dashboard with traffic light system managing front-end and backend (forecasting vs consigned parts)
  • Maintaining inventory tasks such as reserving/un-reserving stock, recording expiry dates, correcting stock balances, and performing cycle counts at remote sites
  • Receiving and reconciling usage reports from consignment customers
  • Invoicing consignment customers with monthly usage
  • Organising replenishment orders for each consignment
  • Managing contract pricing proposals
  • Liaising with warehouse and logistics to ensure consignment shipments are on time
  • Ensuring consignment KPIs are recorded and conducting quarterly reviews
  • Aligning customer stock levels with Aerospheres stock levels
  • Ensuring consistent replenishment/ad-hoc analysis with recommendations
  • Managing expiry invoices
  • Providing solutions to open orders through escalation and offering alternates

Competencies and Key Skills

  • Data analytical skills
  • Proficient in Microsoft Excel
  • Knowledge of MRP functionality and inventory control (beneficial)
  • Effective communicator, both written and verbal
  • Bachelor’s degree in engineering, mathematics, or equivalent industry experience
  • Ability to produce timely and high-quality reports
  • Flexible and responsive to change
  • Self-motivated and confident
